Reporting to Supervisor, Diagnostic Services, or designate, this position performs a variety of clerical and laboratory assistant duties in accordance with Standard Operating Procedures (SOPs), Centre Supplements and Centre Operating Procedures (COPs). Performs clerical duties such as, telephone answering, typing and independently telephones/faxes validated test results and performs a variety of functions related to the preparation and storage of referred in samples, and equipment cleaning. This position also includes the following responsibilities:

  • Prepares technical and non-technical correspondence, memos and test reports / medical reports from drafts; distributes, photocopies mails and files reports and correspondence as directed. Transmits/faxes test reports and letters as directed.
  • Transcribes verbal requests for test results reporting, retrieves and verifies information as per operating procedures and faxes report to hospitals/physicians.
  • Receives telephone calls, faxes, screens and forwards calls, takes messages, handles general enquires.
  • Enters and maintains data records; generates required computer reports; verifies data records, generates test results forms, reviews and verifies demographic information and corrects if required.
  • Sets up and maintains a filing system for reports, worksheets and correspondence; searches and retrieves files as required.
  • Searches and retrieves data from computer; enters and compiles statistical and miscellaneous laboratory data as required.
  • Arranges meetings as directed, books meeting rooms, types and circulates notices and agendas, records minutes of departmental meetings, transcribes and circulates.
  • Maintains an adequate inventory of office supplies.
  • Performs routine maintenance of office equipment; reports malfunctioning equipment to the supervisor or designate.
  • Receives referred-in samples and checks for sample identification with requisition and sorts samples and allocates urgent requests to appropriate testing area.
  • Applies barcode labels to blood samples and requisitions. Validates barcode labelling.
  • Centrifuges blood samples, checks suitability of separated samples and stores in appropriate area. Prepares worksheets, pipettes samples as required. Stores samples after testing has been completed and discards out-dated samples as directed.
  • Performs equipment cleaning, maintenance and start-up of equipment. Maintains equipment cleaning records, assists in faxing and or mailing reports, validating requisition data entry and filing
  • Prepares samples and documentation for transport to other facilities.
  • Assists the Supervisor, or designate with the typing of operating procedures or other documents from drafts or other revisions.
  • Performs other related duties as assigned.

Required Skills

Education, Training and Experience:

Grade 12, and two year’s recent related experience or an equivalent combination of education, training and experience.

Skills and Abilities:

  • Ability to keyboard at 55 w.p.m.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively
  • Ability to organize workload and set priorities.
  • Ability to operate related equipment.
  • Physical ability to carry out the duties of the position.
