We are currently seeking an enthusiastic Assistant to perform the administrative tasks required for the timely processing of employee grievances as well as provide general administrative support to officers and managers. You will maintain an up-to-date documentation centre, forward requested information to regional labour relations personnel, and prepare management reports. This role will also see you greet visitors and customers, and ensure an excellent level of customer service by responding promptly and efficiently to questions and following up on queries when needed.
The successful candidate will In conjunction with the manager or in their absence, coordinate priority actions and ensure follow-up, respond promptly to information requests from senior management, external managers or functional heads, respond to urgent information requests, and deal with situations that could expose Canada Post to criticism if not handled in a prompt, discrete and tactful manner
Receive grievances, request and code documentation following analysis and collective agreement research, perform entry in the Grievance Management System (GMS), open grievance files, ensure they are complete, and obtain and forward additional information to labour relations officers at all levels
Request corrective actions from Access HR for sustained grievances and the removal of disciplinary letters by using confidential information in SAP and conducting a follow-up on the corrective actions requested, and then classify and distribute corrective actions
Review arbitration fees, prepare the schedule, obtain all files required and conduct a search for missing files, convene arbitrators, lawyers, the national office, Legal Affairs, unions and all other stakeholders, and forward written notification of arbitration hearings
Communicate with union representatives to plan grievance hearings and reserve hearing rooms
Act as a liaison officer between Head Office and all section officers to respond to various requests relating to arbitration cases
Perform computerized data entries required for the grievance management system
Prepare official grievance files sent to arbitration, ensure that all general information and details relating to the arbitration are included in the file, and forward information to all parties concerned
Maintain an up-to-date filing system on all union portfolios, and keep arbitration awards received and signed memoranda of understanding on file
Hold copies of Acts and Regulations applicable to labour relations and maintain the case law system
Assist in the preparation of minutes for various union-management meetings, and draft and distribute reports
Produce and distribute labour relations monthly reports to officers and managers, highlighting the main initiatives, events, previous activities, grievances, arbitrations, work interruptions and dismissals
Design, undertake and assume responsibility for special projects as requested by the manager in accordance with branch needs
Prepare and verify the budget including monthly and year-end variance analyses, monitor arbitration-related expenditures, verify arbitrators’ fees, prepare requisitions for payment, and keep a current record of amounts spent
Ensure that transactions recorded are accurate and all incorrect amounts are transferred to appropriate responsibility centres
Sort, register and forward all correspondence, greet visitors, answer telephone calls and respond to information requests in the absence of officers and managers
Make travel arrangements and hotel reservations, and order supplies, material and equipment
Use specialized equipment and various software and computerized programs such as SAP, GMS and the Internet, and maintain a current working knowledge of technological and operational developments
Job requirements (Education and Work experience) Postsecondary degree in Administration or Labour Relations; or Diploma in a related field with one year experience in a similar position
A minimum of one year of experience as an administrative assistant
Experience in processing in judicial files or Labour Relations or Industrial Relations
Significant experience working with Word, Excel and Outlook
Experience working with SAP, an asset
Bilingual oral and written
