We are happy to say that we are looking for an experienced Executive Assistant to the Chairman to join our team!

The Executive Assistant is responsible for providing various facets of business and personal support to company’s Executive Chairman and at times to the family. The position manages a high volume workload with tight deadlines, while operating in a landscape of changing priorities and ad-hoc requests.

The successful candidate will be flexible, adaptable, and a dedicated professional. The position exercises tact and discretion in maintaining confidentiality of sensitive information, and needs to be proactive in anticipating and adapting to the needs of the Chairman. The Executive Assistant works as a member of the Chairman’s Executive Office team with primary responsibility for the smooth operations of the Chairman’s Executive Office and maintenance of corporate records. As a part of the Executive Office team, at times, the Executive Assistant may take on duties of another team member to support the team as a whole. The role is key in cultivating, nurturing and maintaining positive work relationships with internal and external stakeholders. Tasks must be executed with a high degree of professionalism, diplomacy and efficiency.

Specific Responsibilities:

The Executive Assistant will at various times be responsible for the following as well as other related duties as assigned to support the business objectives and purpose of the Company:

1. Schedule Management

  • Arranging, planning and coordinating business and personal appointments. Providing necessary meeting notes and background information in preparation for each appointment
  • Arranging travel, accommodation, car reservations and preparing itineraries for business travel

2. Administrative Support
  • Composing and/or editing a variety of documents including highly confidential or sensitive correspondence, memoranda, contracts and proposals
  • Preparing reports and correspondence, including writing and editing copy
  • Recording, transcribing and distributing minutes of meetings
  • Maintain a well-organized digital and paper filing systems that permits easy reference and rapid retrieval of information

3. Communication Liaison
  • Promptly screening and distributing incoming communications, preparing responses to correspondence when and as appropriate
  • Researching, prioritizing and follow up on incoming issues and concerns
  • Working with other departments to coordinate activities and assigned project work

4. General Administrative Duties
  • Performing clerical duties such as photocopying, scanning and faxing
  • Reviewing operating practices and suggest improvements
  • Reception coverage
  • Other duties as assigned
Job Requirements

To be successful in the Executive Assistant position, individuals must be committed to developing, maintaining and demonstrating the following:

Education and Experience:

  • A diploma in business administration, commerce, hospitality or related discipline; with a preference for an undergraduate degree
  • 5 years’ related work experience as an Executive Assistant in a large complex and/or diversified organization or government
  • Experience supporting an executive on a professional and personal level

Skills and Abilities:

  • Knowledge of appropriate for protocols for the reception of government officials and dignitaries
  • Knowledge of social etiquette and formal service procedures
  • Flexible and adaptable, with the ability to handle change in priorities and task urgency
  • Strong written and oral fluency in Business English
  • Strong interpersonal skills and the ability to build and cultivate internal and external relationships with stakeholders
  • Excellent organizational and planning skills that reflect the ability to manage competing priorities seamlessly under tight deadlines
  • Strong attention to detail
  • Demonstrates experience in producing high-quality and error and omission-free deliverables within tight deadlines
  • Ability to work independently and apply independent judgment
  • Ability to safeguard highly confidential information and to perform with a high level of discretion, tact, professionalism, and integrity
  • Strong proficiency with Microsoft Office applications
  • Ability to lift up to 15 pounds and carry for medium distances
  • “Can-do” attitude and enthusiasm to assist on a wide range or projects
  • Proficiency in additional languages (Korean, Mandarin or French) will be an asset

Provisos:

  • Class 5 driver’s licence
  • Flexible duty hours required to support functions and events in the evenings and weekends
  • Flexible work location. This position requires the Executive Assistant to work at two different locations. Every week the Executive Assistant is expected to work 2-3 days in Downtown Vancouver and 2-3 days in the Surrey head office.
