Reporting to the Manager, Physical Plant and Property as Maintenance Clerk, you will join CMH as we embrace a new era of care, expanded services and innovation. Construction is underway of a modern 5-storey tower and total renovation of all existing inpatient care and clinical support areas. Completion of our brand new hospital is set for 2019 and will include:

  • Patient care areas that are doubling in size, including larger surgical suites to accommodate advanced minimally invasive surgical equipment and an Emergency Department with dedicated treatment areas for mental health and different surgical subspecialties.
  • A patient-centred building design that promotes healing and intuitive wayfinding, while maximizing natural lighting and sight lines to the natural beauty of the Grand River
  • An increase in beds from 143 to 197 to accommodate expanded services like Surgery, Mental Health and Intensive Care. About 80% of inpatient rooms will be single occupancy to meet the latest infection control and building code standards for hospitals

Position Summary:

This position provides general clerical support to the maintenance department part time Monday to Friday during the day and reports directly to Manager of Plant and Property. The primary responsibility is to act as a liaison between clients (patients, visitors, and staff) and Plant and Property (Maintenance, Biomed, and Security) and act as the first point of contact when requests for service are rendered.

Duties and Responsibilities:

• Provide clerical support to Maintenance department

• Administrate the CMMS work order system and distribution to various trades
• Process invoices and purchase orders
• Answer all incoming calls and respond to inquiries or direct to appropriate personnel
• Process incoming and outgoing mail
• Coordinate and maintain office supply inventory and facilitate procurement process
• Reporting and inputting bi-weekly payroll for department
• Interact with vendors and suppliers

Qualifications: • General Office Administration certificate is required

• 3-5 years of current clerical experience in a Maintenance Department within a Healthcare setting is required

• Current experience reporting and inputting department payroll information

• Current experience with a computerized maintenance management system required. Experience with Medimizer system is preferred

• Current experience with a computerized parking system required

• Proficiency in Microsoft software products including Excel, Word and Outlook is required
• Ability to learn and become proficient with new software is required
• Excellent verbal and written communication skills
• Demonstrated ability to work and interact with departments throughout the organization
• Proven excellent time management and attention to detail
• Ability to work and thrive in a fast-paced environment
• Problem solving skills and the ability to adapt to shifting priorities
• Good organizational skills and the ability to complete multiple complex tasks and meet deadlines

• Demonstrated ability to attend work on a regular basis is required
