Rate Scale (hour): $23.00 to $26.43

Position Summary

Reporting to the Anatomic Pathology Supervisor and the Clerical Operations Assistant, this position is responsible for providing secretarial support to the department.

Key Responsibilities

  • Adds required information efficiently and accurately into appropriate database.
  • Requests blocks and/or slides from other sites, Iron Mountain and extra-regional laboratories.
  • Receives request for slides and packages for mailing or by courier.
  • Documents and tracks slide requests and returned slides ensuring that all requests are handled in a timely and efficient manner.
  • Distributes completed patient reports as required.
  • Responds to telephone inquiries, provides information, investigates patient related issues, and redirects calls as required.
  • Transcribes from longhand notes or dictating equipment, types correspondence, bulletins, reports, forms, memos, etc.
  • Records and prepares minutes of monthly staff meetings.
  • Books meeting rooms, equipment and arranges for catering.
  • Provides support and troubleshoot problems with computers, printers, software, etc.
  • Organizes and maintains filing system.
  • Operates copying equipment, fax machine, and other office equipment.
  • Opens sorts and distributes mail.
  • Orders general supplies for department.
  • Scans requisitions into DocVue.
  • Files pathology reports daily.
  • Accessions consults into Millennium.
  • Performs other related duties as assigned.

Position Requirements

  • High school graduation supplemented by post-secondary education in secretarial arts.
  • Minimum of two years of experience working in an administrative role in a health care setting.
  • Intermediate knowledge of Microsoft Word, Excel, Access and Power Point.
  • Ability to prioritize tasks, meet established deadlines, adjusts to changes in workflow and applies effective change management skills.
  • Ability to meet and sustain established productivity benchmarks and departmental goals.
  • Good verbal communication and interpersonal skills.
  • Good telephone manner and etiquette.
  • Ability and willingness to work in a strong team based environment.

Position Assets

  • Knowledge of medical terminology (course or experience).
  • Clinical laboratory experience.
  • Cerner Millennium experience.

Physical Effort

  • Lifting, carrying, pushing or pulling objects weighing more than 20 lbs. (without the assistance of mobile, powered equipment) is occasional.
  • Physical effort requiring manual dexterity is frequently required (i.e., between 25% and 75% of time on the job).
  • The work position most commonly assumed by the person performing this job is unrestricted in terms of freedom to move about at will.
  • Physical work pace and/or exertion are typical of most office work, and not a critical component in this job.

Mental Stress
