This position provides advanced, specialized administrative and secretarial support to the Executive Team and
Communications department.

Key Accountabilities
 Screens telephone calls and visitors to ensure that only significant matters are referred to the Executive, referring

all other matters to appropriate individuals for response.
 Reviews incoming mail, identifies related background material for attachment, prioritizes for review or reroutes

items to appropriate staff within the organization.
 Prepares and reviews correspondence, forms, reports and other materials. Drafts replies to general inquiries and

signs routine correspondence.
 Attends meetings; prepares agendas, collects and assembles materials for meetings, takes, transcribes, and

distributes minutes. Tracks action items.
 Schedules and coordinates meetings, appointments, special events and retreats. Assists in the preparation and

organization of conferences and meetings. Prepares graphical presentations including charts and slides,
brochures, etc.

 Makes travel arrangements and required administrative follow-up and record keeping.
 Establishes and maintains filing systems and databases.
 Researches, abstracts, and summarizes information and source materials for reports.
 May assist in preparing and administering the departmental budget.
 Provides expertise, requiring knowledge of organizational policies, procedures and departmental issues.
 Maintains statistical databases as required.
 Other related duties as assigned.

the confidentiality and security of all information related to patients, staff and the business of CLS.

Key Skills and Aptitudes
 Post secondary diploma in Administration or Business or five to eight years of experience in a related senior

position.
 Excellent Microsoft Office computer skills.
 Experience dealing with Executive functions and minute taking for meetings.
 Ability to develop, compose and edit reports and letters.
 Excellent time management, problem solving, prioritizing and organizational skills.
 Excellent interpersonal skills, written and verbal communication skills.
