Reporting to the Manager, Human Resources this position is responsible for providing administrative and clerical support to members of the Human Resources team.

Key Accountabilities

 Prepares job postings for internal distribution and for posting on the CLS external website. Coordinates job competitions and maintains competition files, distributes resumes, and maintains successful candidate listings.

 Creates “New Hire” Packages for all new CLS employees.  Coordinates the new hire meeting to review offer letters and conditions of employment  Administers reference checks for potential candidates through BackCheck.  Attends Labour Relations/HSAA meetings and Joint Committee meetings for the purpose of taking minutes. Responsible

for creating agenda, distributing minutes and tracking action items.  Monitors the technical competency of MLT employees by reviewing CMLTA certification and advising Supervisors of

expired licenses.  Monitors Casual employee work hours and coordinate with Supervisor as per the collective agreement.  Acts as the point person/lead for coordination and revision of Human Resources policies and forms.  Responds to inquiries from legal and insurance companies.  Initiates and sends out communications/announcements for reoccurring matters arising out of the collective agreement.  Responsible for the development, compilation and distribution of legal letters and documents arising out of articles from the

collective agreement.  Participate in interviews when required.  Provides back up to complete the MLA and MLT pre-screen process as required  Provides back up to other related HR positions as required.  Other related duties.  Professional and ethical responsibility to protect privacy, use confidential information appropriately, and maintain the

confidentiality and security of all information related to patients, staff and the business of CLS.  Demonstrates Professionalism, Respect/Caring, Integrity, Dedication and Excellence (PRIDE) in the work environment.

Key Skills and Aptitudes  Grade 12 diploma required.  Graduate of a recognized program in Secretarial Arts program or equivalent experience and education.  1-3 years previous experience working in a clerical support role is an asset.  Intermediate to advanced computer skills including MS Word, Excel, Powerpoint, Access, and Microsoft Outlook is

required.  Excellent interpersonal skills, written and verbal communication skills including the ability to work as a member of the

departmental team and provide support to a number of staff members.  Ability to work in a fast paced, dynamic environment with constantly changing priorities.  Must be detail-oriented and have exceptional time management skills.  Any Canadian equivalency to English 30 or 33 or CLBA score of Benchmark 8 completed within the last six months.
