Role and Responsibilities

  • Review the solicitation material (RFP, RFI, etc.) to understand proposal deliverables, the structure of the response, applicable conventions, and any other bid particulars to assist/offload the Proposal Writer
  • Prepare the initial draft of the proposal outline (writing assignments document)
  • Generate the proposal skeleton documents using the proposal outline/writing assignments document
  • Populate draft proposal sections from baseline write-ups, autonomously and with little guidance
  • Consult, update, and maintain the writing assignments document. Follow up on outstanding input
  • Oversee the maintenance and accuracy of style guides and templates, researching and establishing industry best practices
  • Contribute to the creation of baseline documentation, complete with user guidance
  • Provide counsel for document/template structure, design and layout
  • Act as custodian of all deliverable documentation prepared by Proposals
  • Oversee and drive the updates to the inventory of standard/approved proposal material to ensure that it remains current
  • Populate and maintain library of standard topics and write-ups
  • Liaise between Proposal team and graphic artist to initiate the creation of specific graphics, illustrations, diagrams
  • Provide initial review and edit of all proposal graphics and text inputs, and suggest iterative draft changes as needed
  • Support proposal reviews (e.g. Red Team) and recovery efforts
  • Maintain version control at the review and edit stage of each proposal draft iteration, and final document release
  • Edit and format proposal material for consistency of message and tone in the overall package of the deliverable including compliance with the Proposal Style Guide and departmental standards; Text improvement (grammar, flow, readability, accuracy, consistency, clarity
  • Perform final edit of all proposal drafts, Red Team and final versions, and ensure final proposal meets the structure/conventions requirements of the RFP, as applicable
  • Ensure the proper contextual integrity of each completed proposal section by coordinating all edits with the Proposal Writer/respective SME/contributor
  • Manage the production, reproduction, and binding/packaging of all proposal hard and soft copies
  • Coordinate packaging and shipping activities for proposal deliverables
  • Prepare initial draft of new Capability Guide or other marketing material based on similar baseline
  • Enforce and maintain alignment with corporate branding guidelines, pro-actively keeping abreast of new changes/implementations
