Customer Service Representative

Role Definition: The Customer Service Representative is responsible for primary interfacing with customers to ensure the timely and accurate processing of orders, logistics, inventory management and proactive customer service.

Key Responsibilities
• Primary liaison (telephone, emailing, fax) with all external customers, warehouses and buy/sell broker customer service teams.
• Oversee the day-to-day execution of the Customer Service function, including:

  • Timely, accurate and efficient processing of customer orders (within 24 hours of receipt)
  • Timely, accurate and efficient processing of sample orders (within 48 hours of receipt)
  • Matching all orders to current pricing and codes and report any anomalies
  • Ongoing database maintenance (pricing, promotions, products, specifications)
  • Convert EDI orders from network
  • Invoice matching, mailing, filing

Verify, proof and ensure accurate order entry, utilizing order verification checklist
• Advise customers of shortages and date changes on all orders, keeping accurate record on shortage reports to be distributed monthly
• Inform sales team and/or Principal Manager(s) of shortages or challenges with any relevant orders
• Proactive customer communication regarding purchase targets, status, inventory clear-outs, etc.
• Secondary back up for reception
• Key liaison of GenWeb systems and database maintenance
• Key team member in set up and maintenance of all new customers, manufacturers, products and broker information
• Incoming customer product complaints
Qualifications
• Persuasive communication skills, coupled with sound judgment and the ability to act proactively on own initiative
• Problem solver who can prioritize and effectively manage multiple priorities simultaneously

• Outstanding interpersonal skills
• Competent in delivering strong, personalized service to customers
• Capable of connecting and relating well to individuals at all levels of an organization
• Ability to participate and contribute effectively as a team player
Requirements
• A minimum of 2 years Customer Service work experience
• Minimum high school graduate
• Knowledge of Food industry broker sales is an asset
• Exceptional computer skills with proficiency in MS Office, internet, and experience working with an automated order entry system
• Strong command of the English language
• Follow company processes, protocol and associated lines of communication
Must be able to work flexible hours, either 8am – 4pm, 9am – 5pm, 10am – 6pm

or proceed with Standard Application Form.
