ABOUT THE ROLE:
We are seeking a dynamic, upbeat experienced administrative professional who is inspired by our cause and wants to use their unique set of skills in a role that is challenging and offers potential for growth. Reporting to the Philanthropy Officer, the Philanthropy Assistant is responsible for providing administrative support to the activities of the Philanthropy team supporting corporate partnerships.
This position is critical to a streamlined and efficient office operation, which enables the Officer and the team to function and focus on the task of revenue generation and external relations. The position is pivotal and is often the front-line contact for the department with key internal contacts and external constituencies. More specifically, this Philanthropy Assistant will provide:
- Program and Administrative Support : Assist the Officer with calendar, scheduling of appointments and assembling materials for meetings. Provide direct administrative support to the team by assisting in the preparation of confidential correspondence, formatting donor proposals and stewardship reports, creating collateral materials, department planning documents, taking minutes and correspondence for meetings. Maintain updates for the BCCHF Intranet site. Prepare and code cheque requisitions and expense reports. Provide online fundraising reconciliation and support; work with internal teams on creation of online fundraising pages, troubleshooting and post fundraising reconciliation.
- Donation Processing & Database Management : Process donations and ensuring they are recorded accurately on reports and in database. Maintain the portfolio’s accounts in Raiser’s Edge, ensuring regular updates are made. Regularly review, update and print reports. Assist with the tax receipting process.
- Volunteer Management and Support : Assist in providing ongoing support with committees, volunteers and account champions. Take an active role in providing committee meeting and event logistics support. Respond to routine enquiries in a timely manner.
As the successful candidate you are committed to teamwork, are reliable and dependable, can problem solve on a moment’s notice and have enthusiasm to get the job done. With a diploma or certification in administration or a related discipline (ex. business, marketing, fundraising), plus three years of administration experience – this is the position for you!
Our ideal candidate has in-depth knowledge of Microsoft Office Applications (Word, Excel, Outlook and PowerPoint) and ideally has worked with Raiser’s Edge 7 or other databases; familiarity with mail merge and large mail outs; has excellent interpersonal and communication skills, including the ability to build sound relationships with donors, committee volunteers and demonstrates integrity with sensitive and confidential information; superior organizational skills and attention to detail; excellent customer service ethic; the ability to work as a team player as well as work autonomously; experience working with senior community leaders and volunteers; and a positive outlook with an inspirational vision. Previous experience working in a not for profit is an asset.
