Better Choice Staffing is looking to recruit a Paralegal for one of our clients in Victoria.

The successful candidate will maintain the corporate minute books and electronic corporate entity database, create electronic board books for Board of Directors quarterly meetings and support investment and transaction documentation requirements handled by the Legal Affairs Department. The successful candidate will also respond to requests for information and support the Legal Affairs Department with general administrative matters.


Must have:

  • Must have a law clerk or paralegal certificate or diploma from an accredited institution (or equivalent corporate records experience);
  • A minimum of 3 years’ experience in preparing corporate entity documents;
  • Experience with a corporate database;
  • Ability to learn quickly and to produce high-quality work under tight timelines;
  • Demonstrated ability to take initiative, work collaboratively, manage competing requirements and maintain highly confidential information;
  • Meticulous attention to detail with superb accuracy and organizational skills;
  • Strong and accurate keyboarding (60+ WPM), writing, editing, word processing and computer skills; and
  • Ability to work independently and as part of a team.


  • Experience working with Diligent Boards and SharePoint;
  • Knowledge working with ALF Corporate; and
  • Exposure to working with both Federal and BC companies.


  • Maintain minute book records, corporate database and board book portal;
  • Perform matters relating to Federal corporations, BC companies, limited partnerships and extra-provincial companies;
  • Assist the corporate secretary with preparing materials required for Board and Committee meetings;
  • Assist counsel with document management and retrieval;
  • Respond in a timely fashion to requests for information from various parts of the organization or external parties;
  • Provide documentation support to lawyers and transaction team members, such as for regulatory filings and closings;
  • Perform administrative functions as required; and
  • Actively adhere to compliance and risk management policies, and participate in business continuity planning.
