POSITION TITLE: Program Coordinator

POSITION TYPE: One-year maternity leave contract (beginning May 2017)

POSITION DETAILS: 35 hours/week at $17/hour

Bereaved Families of Ontario – Midwestern Region (BFO-MR) provides free peer support to individuals and families grieving the death of a loved one.

Position Mandate

The Program Coordinator is the primary point of contact between community members seeking grief support and the volunteer facilitators who run our groups. The Program Coordinator is responsible for coordinating and arranging facilitators, facilities and materials for each of our groups, managing one-on-one support relationships between volunteer facilitators and members, and completing outreach activities in the community to spread the word about our work.

Key Responsibilities

The Program Coordinator is responsible for general administrative duties related to participants and the operation of groups, and ensures members have access to appropriate supports through our intake and referral processes. This includes:

Program Coordination

  • Create, together with staff and volunteers, an environment that is conducive to mutual support and healing.
  • Maintain a positive attitude about the organization
  • Keep members needs’ at the forefront of discussions
  • Coordinate our peer support groups and educational programs
  • Recruit volunteer facilitators
  • Provide facilitators with materials necessary to run the programs
  • Provide facilitators with member information
  • Coordinate the room and supplies for the group
  • Ongoing relationship management and mentorship of facilitators, providing them with an opportunity to debrief after every group
  • Promotional activities
  • Complete program evaluation with all members

Intake Management

  • Complete an intake for all members to BFO-MR
  • Manage registration for our programs
  • Ensure calls and emails to members are returned in a timely manner
  • Refer members to other community supports if necessary
  • Track all communications with members
  • Complete monthly intake and support reports

Community Outreach

  • With the Executive Director, identify and liaise with community organizations to educate them about the work of BFO-MR and encourage referrals to our programs
  • Prepare and present educational sessions in the community
  • Continued relationship management with community partners

Other

  • Involvement in BFO-MR special events and fundraising activities
  • Positively represents BFO-MR to external as well as internal audiences
  • Other duties as assigned by the Executive Director
  • Ability to work occasional weekends and evenings, and be available to be on-call on evenings when our groups run

Reporting Relationship

The Program Coordinator reports to the Executive Director of Bereaved Families of Ontario – Midwestern Region.

Skills & Assets

  • Excellent communication skills, oral and written
  • Detail oriented with exceptional organizational skills and the ability to prioritize effectively
  • Commitment to maintaining member confidentiality at all times
  • Exemplary active listening skills
  • Experience with Microsoft Office, WordPress, Constant Contact and database management is preferred
  • A valid G driver’s license without restrictions and a reliable vehicle is preferred
  • A Vulnerable Sector Check will be required.

Qualifications
