Job Summary

This role is our office quarterback dealing with a variety of tasks to assist internal employees be at their best while also ensuring that our visitors, vendors and key partners have a great experience with Bentall Kennedy.

This role will be particularly appealing to you if you thrive on helping others and are extremely organized. You will be the voice and the face to the Bentall Kennedy brand and you appreciate the importance of a professional presentation while also maintaining a great sense of humour.

Key Responsibilities

Responsibilities of the Receptionist are, but are not limited to, the following:

  • Providing reception and switchboard services on a full time daily basis including but not limited to answering/directing phone calls and greeting guests; receiving and sending couriers; managing boardroom cleanliness, supplies.
  • Primary oversight for all meeting room bookings and cleanliness of those areas.
  • Coordinating business card orders for the Vancouver area employees and administrating final approval for the rest of the western region.
  • Coordinating and maintaining building access cards and liaising with building security as necessary.
  • Coordinating cleaning and maintenance in conjunction with the property management company using Angus One System (don’t worry we’ll teach you).
  • Responsible for invoicing and Corporate Card processing using Perspective Experience (don’t worry we’ll teach you if you haven’t used this program as well!).
  • Submitting quarterly accruals to the Office Manager and Corporate Accounting.
  • Maintaining all relevant contact lists (i.e. property listings, telephone directory, tenant lists).
  • Assist with maintaining the Office Services Outlook Calendar to help us stay organized.
  • Providing administrative support to other department administrators.
  • Back up administration of the Iron Mountain off-site records storage account including processing internal orders, maintaining order log database, reconciling and payment of invoices, administering destruction of storage boxes, creating and maintaining a complete inventory list.
  • Providing support and coverage in various office services functions.
  • Special projects and additional duties as assigned.
  • May be required to work outside of standard office hours on occasion.


  • At least 3+ years of Reception and/or Administrative related experience in a corporate office environment.
  • High school diploma supplemented with post-secondary courses or equivalent work experience.
  • Intermediate Computer Skills – Microsoft Office.
  • Minimum intermediate typing speed of 65 wpm.
  • Police Clearance – A criminal verification check is required for employment. .

  • Strong administration skills to ensure all records, files and documentation are maintained in orderly, accurate and timely fashion.

  • Team-oriented approach and use of collaborative relationships in order to accomplish work goals.
