Job Summary:
Under the general supervision of the Executive Director and the Clinical Director, provide administrative support for the Beginnings Family Services staff. Prime role is to administer the adoption file throughout the process from opening to closing.
Duties and Responsibilities:
Prepare reports and social & medical histories for the birth parents (identifying and non-identifying) send out doctor and hospital letters for the birth parents.
Prepare adoption proposals to the ministry
Arrange adoption consents with lawyers. Inform adoptive couples after 21 days expires.
Track all adoption costs in collaboration with the Director of Finance, send out interim statements and arrange for office visits for adoption finalization and final statement of accounts.
Prepare legal documents for court re adoption finalization, liaise with court staff re finalization planning.
Create and revise forms and form letters as needed and post on the website as applicable
Manage and edit website. Work with staff on social media postings.
Provide telephone support for receptions absence. Provide backup reception duties to include answering the phone, logging and directing calls, as well as greeting clients and visitors.
Work professionally and co-operatively with other staff members; attend staff meetings, AGM, Strategic Planning sessions.
Skill Requirements:
Medical records or legal office experience an asset
Self-motivated, flexible and disciplined team player adept at multi-tasking and prioritizing
Must possess excellent time management and organizational skills with a high level of accuracy and attention to detail;
Excellent communication skills necessary
Strong computer skills: Microsoft Office (including Word, Excel and PowerPoint, Data Management Programs) and ability to learn new software
Interest in adoption valuable
