-Job Duties Outline:

Day to Day office support – as required for BCS Controls and Reliable, reporting directly to project manager and office manager. Some specific duties are as follows.

Co-ordinating Service Calls – start to finish – including calling for receivables

  • Answering phone calls and emails to generate requests for service
  • Entering SR# into backlog, and maintaining completion status
  • Collecting service reports from technicians and assembling for billing
  • Tracking any costs pertaining to the SR (hours, materials & supplies)

Co-ordinating Maintenance Contracts – start to finish – including calling for receivables

  • Entering CM# into backlog for job costing, and progress tracking
  • Collecting reports from technicians and assembling for billing
  • Tracking any costs pertaining to the CM (hours, materials & supplies)

Processing Parts Orders & Sales – start to finish – including calling for receivables

  • Entering PT# into backlog
  • Placing and tracking all parts ordering (breakout orders per job for costing)
  • When parts are received, checking off the orders to confirm they are all received and then shipping to end users as needed.

Inventory – Stock and Project Parts Ordering

  • Maintaining inventory levels based on established minimum levels
  • Creating PO’s for purchasing and costing
  • Unpacking and labeling with project number.

Shipping and Receiving

  • Placing, picking, and receiving parts orders for projects and stock
  • Project support – Work with project team as required
  • Job tracking data entry, scanning to Server, folder setup, as built paperwork collection, etc.
  • Maintain, generate and organize project documents.

Safety Support – Work with Safety Rep as required

  • Tracking safety certifications and booking appointments and course certifications
  • Sending up to date WCB, insurance letters to clients
  • Verify Hazard assessments, vehicle inspections & vehicle maintenance schedules, etc.

Standards of procedure SOP generation

  • Assist in creating and maintaining and job process workflows as required
