TITLE: Administrative Assistant

LOCATION: Corner Brook, NL

RESPONSIBLE TO: Owner/Management

The Administrative Assistant will be a primary contact person for patients of the practice. This position is responsible for greeting patients, answering telephones, scheduling appointments, completing administrative processing and record-keeping. The Administrative Assistant will answer questions regarding clinic services and promotions; screen patients to determine which services will meet their needs; and demonstrate excellent service to all patients. This position supports the mission of the practice by demonstrating excellent patient care and incorporating patient outreach and retention calls as needed.

Opens the clinic and ensures the front office is in order.
Retrieves phones messages and prioritizes return phone calls.
Greets and assists patients who come to the practice.
Answers incoming calls and guides patients to the appropriate services.
Distributes and obtains appropriate forms, including new patient information, insurance information, and third party payer information for all patients.
Schedules all appointments.
Prepares, retrieves and files patient charts on a daily basis.
Handles shipping and receiving of all patient orders.
Confirms next day appointments.
Enters patient information and orders in the clinic’s management software.
Performs patient retention phone calls.
Collects and records payments.
Completes bank deposits.
Assists patients with the purchase of batteries and assistive listening devices.
Performs minor hearing aid checks, cleanings and repairs.
Prepares and mails marketing materials and other patient correspondence as needed.
Maintains an attractive and welcoming office environment.
Practices good safety and infection control protocols.
Exercises confidentiality as it relates to all business and patient information.
Performs all other miscellaneous duties as assigned.

Must be high school graduate. Preference is given to applicants with a diploma or degree in administrative, accounting, sales, or customer-oriented field (or posses equivalent work experience).
Excellent interpersonal skills that allow effective working relationships with patients and colleagues. This includes listening, sales, and problem solving skills.
Ability to work effectively with various computer programs.
Must be able to organize time and prioritize numerous duties within strict deadlines.
Requires the ability to multitask and deal with numerous interruptions throughout the day.
Must deal with patients in a warm, caring and respectful manner.
Must be detailed-oriented.
