Collections Information Coordinator

Temporary Full-Time; Up to 35 Hours per Week

Role

Under the direction of the Manager, Collections Information, provides technical support and training on the proper and efficient use of The Museum System (TMS) software; catalogues, analyzes and performs data entry and clean-up; and assists with a variety of TMS related projects. Assists the Image Rights & Reproduction Coordinator with research and tasks related to Rights & Reproductions, estate and artist information in TMS. Assists with licensing agreements to artists and to rights holders for work in the AGO Collection. Provides R&R research for publications and exhibitions. Monitors copyright for artist’s estates. Liaises with AGO internal clients as needed for clearing internal image permissions.

Objectives
·
Catalogues, analyzes and performs data entry/clean-up to support the acquisition and inventory process of art objects and database information as assigned. Enters and maintains data utilizing approved museum standards and reconciles data and authority lists for general TMS use and in preparation for further integration across the Gallery. Provides training for all end-users to facilitate the proper use, implementation and development of TMS Gallery wide.
· Assists the Image Rights & Reproduction Coordinator in researching and entering up to date R&R estate and artist information. Assists with the acquisition of R&R assignments during the art acquisition process by contacting artists with related questionnaire and follow up with the documentation in TMS. Monitors copyright for artist’s estates according to existing contracts.
· Records and processes requests; determines and tracks rights and reproduction fees; issues permission letters. Reconciles these accounts on an annual basis.
Qualifications:
·
Minimum 2 years demonstrated knowledge and experience and with collections management databases, including TMS (The Museum System), Digital Asset Management Systems (Portfolio), MS Word, Excel
· 2 years minimum direct experience working in Collections Management
· A degree in Collections Management or related field
· Working knowledge and experience administering rights and reproduction requests and of copyright
· Ability to provide excellent client service
· Excellent organizational, administrative, verbal and written communication skills
· Working knowledge of art and AGO collection
· Experience in a museum setting
· Reading and speaking French is an asset.
