Job Title: Accounts Receivable Administrator – Cash Application
Reports To: Account Receivable Manager

Location: 999 West Hastings Street -Vancouver, BC

Job Summary

The Accounts Receivable (A/R) Administrator – Cash Application is responsible for ensuring the efficient, effective and accurate flow of data entry and related duties in posting accounts receivable payments. This includes maintaining ledgers, credit balances, and resolving account irregularities. The A/R Administrator will post daily cash receipts, administer refunds, adjustments, and any other accounting transactions related to A/R management that facilitates swift payment of invoices due to the organization. This position will provide back up for the AR collections administrator. In addition, this position requires experience in problem-solving systems related issues.

Major Responsibilities

  • Collaborate with the Accounts Receivable manager and AR Team to maintain collection goals and general A/R performance levels.
  • Provide backup and vacation coverage for the other members of the team. This will include but not limited to collections, customer inquiries, account set up and processing company invoicing.
  • Working with customers and internal divisions to investigate and resolve billing discrepancies or misapplied cash transactions.
  • Receive and fill out receipts for third party payments, whether by cash, check, credit, and other forms of payment.
  • Post and reconcile payments to general ledgers.
  • Review credit balances, refunds, and adjustments, and apply adjustments and/or corrections to corporate billing records.
  • Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its customers.
  • Ensure all files are organized and maintained and all office processes are streamlined for most efficient and effective operation.
  • Advise customers on corporate A/R policies and procedures.
  • Follow all workplace safety policies and compliance regulations participate in identifying hazards
  • Comply with all rules and regulations, protocols and established metrics
  • Provide internal and external Customer Service excellence.
  • Other duties as assigned by manager.

Requirements

  • Relevant post secondary education, diploma or degree an asset i.e. some CGA, CMA, CA or CPA courses.
  • Understanding of and experience with the accounting cycle i.e. accounts payable, accounts receivable and payroll, month end and year end processes.
  • Knowledge of Epicor and DTMS or other relevant accounting and invoicing software is an asset.
  • Experience in gathering data, compiling the proper information, and preparing financial reports.
  • Able to perform moderate to complex account reconciliations.
  • Basic knowledge of accounting systems, budgets, and internal controls.
  • Proficient in Microsoft Excel and ability to quickly learn new computer applications i.e. Arrow custom applications, Gmail etc.
