The Administrative Assistant will work closely with the Executive Personal Assistant and the Personal Assistant to support a Senior Executive at the Aquilini Group and his family. The incumbent will execute a wide range of requests including administrative and personal support. This is a part-time position, working approximately three days per week.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
(other duties may be assigned, as required)

  • At the direction of the Executive Personal Assistant, executes requests from executive and/or members of his family
  • Performs accounting and clerical tasks related to the efficient maintenance and processing of accounts payable transactions
  • Processes invoices and cheque requests
  • Reconciles accounts, credit cards and account cards
  • Manages expense related needs
  • Manages executive suite requirements for events at Rogers Arena (tickets and F&B)
  • Maintains an effective follow-up system to ensure all issues are handled appropriately
  • Reviews and controls a high volume of incoming and outgoing time sensitive and confidential communication, and follows up on commitments
  • Assists with the creation of presentations
  • Maintains multiple data and appointment systems and performs calendar management
  • Maintains electronic and physical filing system
  • Maintains Executive office (providing refreshments, lunches, etc.)
  • Conducts in-depth research as requested, gathering information and preparing a thorough draft recommendation
  • Assists the Personal Assistant with errands, organizing social and charitable events, and with travel arrangements
  • Backs-up Personal Assistant and Executive Personal Assistant as required
  • Performs other related duties and assists with special projects as required

REQUIRED EXPERIENCE AND QUALIFICATIONS:

  • Minimum 2 years’ directly related work experience
  • A natural willingness to help and get the job done, no matter what
  • Comfortable with and thrives in an environment with ever changing priorities
  • Self-directed, pro-active, highly organized and detail-oriented with an ability to prioritize assigned duties
  • Ability to remain calm during stressful periods while remaining focused on the tasks at hand
  • A high level of confidentiality, discretion, loyalty and respect as well as a natural ‘can do’ mindset
  • Ability to relate professionally with a high level of maturity, diplomacy, and a positive demeanor
  • Solid experience in the use of PC & MAC
  • Excellent verbal communication skills and telephone etiquette
  • Ability to work independently
  • Ability to work outside of normal business hours
  • Valid driver’s license and comfortable with driving around Vancouver
