Allied Properties is currently seeking a talented individual to join the Team in the Toronto office. This person will be responsible for overall operations of assigned properties and safe & efficient operations of the Building Systems and all aspect of the physical assets.

Accountability includes people management and responsible for direct and indirect reports (operations staff and contract services). The ideal candidate possesses strong technical knowledge and proven leadership skills. The candidate must be organized, detail-oriented, and have proven capabilities in multi-tasking, problem solving and prioritizing workloads.

RESPONSIBILITIES
· Ensure compliance with any and all applicable government regulations;
· Comply with company policies and standard operating procedures at all times and ensure building standards and efficiencies are maintained;
· Conduct appropriately and present an acceptable appearance while on site performing the duties of the position;
· Ensure Building Operations Staff present an acceptable appearance while performing the duties of their position. Ensure Building Operations Staff are properly groomed and in full uniform at all times while on duty;
· Ensure that all Building Operations Staff conduct, present and act professionally at all time;
• · Work closely with Building Operators to ensure smooth and efficient building operations. Audit response times to all Tenant/PM requests and tasks;
· Perform and complete all assigned duties & responsibilities with minimum supervision as per agreed schedules;
· Strong knowledge of all aspects of the building operations including but not limited to HVAC, mechanical, electrical, plumbing, life safety, etc and ensure all equipment and systems are operated in a safe and efficient manner and are in compliance with all applicable government codes & regulations;
· Conduct routine inspections on all site mechanical, electrical, and HVAC systems and related equipment including but not limited to water treatment, boilers, heat pumps, roof top units, air conditioners, etc, on regular basis in order to ensure equipment is maintained in good working order;
· Conduct routine inspection of all interior and exterior areas of all of the buildings in the portfolio. This includes surface and underground parking garages;
· Audit all daily/weekly/monthly logs and ensure readings are properly maintained, look for any irregularities and discrepancies and take appropriate action to ensure safe and efficient operation of all equipment/systems;
· Assist the Building Operations Staff in ensuring appropriate repairs are carried out for all building systems and or equipment, as required/requested;
· Supervise job tasks, work schedules, overtime and holidays for all Building Operations Staff;
· Responsible for the performance of the Building Operations staff by monitoring performance and taking corrective action when necessary;
· Provide leadership and training to Building Operations Staff;
· Maintain positive staff relations through consistent communication and meetings;
· Train staff to troubleshoot equipment and perform repairs to reduce operating costs;
· Train all Building Operations Staff according to their needs and on any duties / procedures they are not familiar with. Ensure each Building Operator is cross trained on all of the buildings in their respective pools;
· Provide assistance to Senior Property Manager/Property Manager to liaise with technical consultants and contractors on tenant improvement work and/or base building projects. This includes timely turnover and preparation of vacant premises;
· Lead and/or provide assistance to Senior Property Manager/Property Manager for the procurement of all supplies and services required for the smooth operations of properties;
· Implement and enforce building procedures, organization’s Standard Operating Procedures, adherence to government codes & regulations, and make recommendations for building improvements;
· Lead and/or provide assistance to JH&S committee in OHS procedures, address all related issues and oversee the corrective actions;
· Ensure all Building Operational Staff maintain a list of up to date and accurate emergency contact information and regularly review;
· Provide refresher training for all staff on the procedures for Life Safety, Emergency Response and the Fire Safety Plan;
· Ensure building security system, fire alarm panel and sprinkler system are in good operating condition at all times;
· Ensure all health, safety and security procedures are adhered to and areas of concern are reported to the appropriate parties in a timely manner in order to limit exposure to liability and loss;
· Ensure that all fire protection equipment & systems are inspected & tested at recommended intervals for proper operation in order to meet legislative requirements and ensure tenant and customer safety;
· Assist where required the planning & scheduling of annual fire drills and inspections;
· Follow organization’s authority levels and approvals;
· Assist Building Operations Staff where required with the coordination and scheduling of required maintenance or repair/replacement with the appropriate subcontractor;
· Ensure service contracts are enforced, service levels are achieved, and contractors are adequately supervised when on site;
· Supervise execution of all preventative maintenance tasks as prescribed on all equipment and systems;
· Ensure all tenant concerns are addressed in a timely and professional manner and assist in solving issues as required. Follow up with the tenants to ensure they are satisfied with the work;
· Ensure all service performed is recorded in Angus Anywhere. Review on regular basis all relevant reports generated by Angus for tenant requests and make recommendations to improve the service level;
· Coordinate and supervise delivery of services to tenants by contractors;
· Respond to after hour calls and/or emergencies when required;
· Ensure seasonal building requirements and services such as but not limited to ice and snow clearing, salting, seasonal decorating, and grounds keeping are met. Where applicable, ensure that contractors’ work is carried out securely, appropriately and according to the service agreement;
· Ensure equipment inventory is accurately maintained at all times, coordinate replacement inventory as require;
· Provide assistance to Senior Property Manager/Property Manager in the preparation of building operating and capital budgets;
· Complete any other duties as requested or as required by the organization’s Standard Operating Procedures.
QUALIFICATIONS
· Grade 12 or equivalent;
· Certificate of Building Environmental Systems – Operator Class One & Two or equivalent;
· Minimum 5 years’ experience in physical plant operations, HVAC, Plumbing, Electrical, Fire Alarm, and other related equipment and systems;
· Minimum 2 years’ supervisory experience;
· Strong knowledge of building operations and troubleshooting of building systems, including but not limited to: HVAC, Electrical, Plumbing, Automation, life safety, building envelope, etc;
· Strong analytical & graphical aptitude and able to read & interpret plans and/or drawings;
· Excellent verbal and written communication and customer service skills;
· Strong administrative skills and ability to lead, coach and manage employees;
· Able to work independently with minimal direction and able to respond quickly to emergency situations;
· Good judgment, decision-making and problem solving skills;
· Develop and sustain cooperative working relationships with operation staff, property manager, contractors, tenants and the public; open to partner with clients to meet client needs; self motivated, professional and flexible; coachable, empower and coach/counsel staff in the achievement of performance goals;
· An assertive self-starter with the ability to work independently under minimal supervision;
· Competent in time management and must be able to allocate work load according to priorities, work well under pressure and manage tight deadlines; can manage multiple demands, adapt to new ideas and constant changes; able to cope with changing client needs and deliver successful results within agreed upon time frames;
· Collaborative worker and effective member of the team;
· Detail oriented and good organization skills;
· Positive attitude and willingness to work overtime and respond to emergencies;
· Strong Knowledge of Occupational and Safety Act, Knowledge of Workplace Hazardous Materials Information Systems (WHMIS) and First Aid and CPR training;
· Strong Knowledge of Provincial Building Code & Regulations, Canadian Electrical Code, Provincial Fire Code and Electrical Safety Authority;
· Strong computer skills including MS Office (word/excel), Knowledge of Angus Anywhere and Building Automation Systems;
· Experience in managing maintenance/construction projects;
· Valid G class driver license in Ontario;
· Must be fluent in English.
