The Executive Administrative Assistant provides administrative support to the Acting Vice-President, Quality and Chief Medical Officer and the Calgary Zone physician leadership team (the Executive). This position provides a full scope of administrative and business support to the Executive Office by:

– Responding directly to day-to-day administrative inquiries on behalf of the Executive
– Maintaining the calendar of and scheduling appointments and making travel arrangements for the Executive
– Preparing and tracking P-Card and expense reports
– Maintaining records and file management, creating systems and processes, as required
– Monitoring, tracking and negotiating timelines on all Action Requests
– Preparing meeting agendas, attending meetings, recording and transcribing minutes and tracking action items
– Acting as a resource to other administrative support staff within the portfolio or office
– Researching and preparing background material for executive meetings
– Researching information and composing correspondence for the Executive signatures
– Providing back-up coverage for administrative team activities, which include but are not limited to supporting the Director, Medical Affairs, attending Senior Medical Affairs committee meetings, recording of minutes, and providing follow-up

All Non-Union/Exempt positions are being reviewed for possible inclusion in the AUPE General Support Services bargaining unit. If this position is impacted, the incumbent will be notified accordingly.

Qualifications:

– A minimum of a two year diploma plus five years progressively responsible related experience is required.
– Considerable working knowledge of Alberta Health Services (or an organization of a similar magnitude and complexity) systems and processes.
– Considerable working knowledge of legislation, policies and processes and general office policies and procedures.
– Intermediate to advanced working knowledge of office software databases (Outlook, Excel, and Word).
– Excellent knowledge of political sensitivities and the diverse interests of diverse stakeholders.
– Excellent knowledge of financial and administrative policies.
– Knowledge of electronic tracking systems for requests, financial and human resource information systems and expense claim system is required.
– Knowledge of legislation governing Freedom of Information and Privacy (FOIP) is desirable.
– Excellent written and oral communication skills.
