ROLE SUMMARY

This position is a senior level administrative role responsible for supporting one or more members of the senior management team, related departments and other identified key stakeholders.

KEY ACCOUNTABILITIES

  • Provide administrative support including correspondence and calendar management, coordination of travel arrangements, expense reports, invoice coding, and coordination of meetings and preparation of associated materials.
  • Develop and edit written reports, proposals and various written communications.
  • Record-keeping and documentation practices, both paper and electronic, and legal documents.
  • Assist with the planning and implementation of events and conferences.
  • Website maintenance to ensure timely review, completion and distribution of current releases in an efficient and cost effective manner.
  • Take and transcribe minutes, conduct and record business meetings.
  • Provide back-up support to team members including peers and reception during periods of absence.
  • Provide mentorship and guidance to other team members.
  • Support risk management by following established policies, procedures and controls both corporately and within area of responsibility and escalate discrepancies to management.

REQUIREMENTS

  • Related University, college, formal certification or a combination of formal education and a minimum of 2 years of experience.
  • Proficiency Level of Microsoft Office Suite: Word – advanced, Excel – intermediate, PowerPoint – advanced and Outlook – advanced. Other software as required.
  • Team-oriented, having experience collaborating with multiple levels and sectors of the organization.
  • Ability to prioritize effort and manage multiple projects and initiatives concurrently.
  • Must be bondable.
