Job Summary

The Logistics Coordinator will work under the general direction of the Supply Chain Manager. The incumbent is responsible for tracking both inbound and outbound materials and shipments for Cross Border and Materials. The Logistics Coordinator will ensure that billing and invoicing is completed in a timely fashion. Additionally, the incumbent is responsible for creating better efficiencies through creating training manuals, employee forms, charts and Proforma invoice templates.

Responsibilities

Materials

  • Provide vendors and clients with answers to queries that may arise
  • Coordinates with Project Coordinator Lead for updated spreadsheets and lists of completed Fiber Source Areas (FSA’s) to be billed
  • Coordinate with, pull data for and follow-up with Project Managers, Project Coordinators, Project Assistants, Project Analysts and Finance Analysts when and if necessary
  • Check status of invoices including approved, submitted, issues and paid
  • Provide approved invoices to the Accounting department for processing
  • Track vendor and client invoices and credits
  • Scan, save and sort various documents into centralized location

Cross Border

  • Provide vendors and clients with answers to queries that may arise
  • Monitor and check status on pending in-transit shipments and completed Fiber Source Areas (FSA’s)
  • Co-ordinate shipping and invoicing for 3 rd party sales
  • Coordinate with, pull data for and follow-up with Project Managers, Project Coordinators, Project Assistants, Project Analysts and Finance Analysts when and if necessary
  • Check status of invoices including approved, submitted, issues and paid
  • Provide approved invoices to the Accounting department for processing
  • Track vendor and client invoices and credits
  • Co-ordinate with warehouse managers, staff and other companies to verify invoices and credits
  • Monitor, save, log and track all cross border documentation
  • Match cross border documentation to invoices and coordinate with Accounting Department to process
  • Create Proforma invoices for outbound shipments
  • Co-ordinate with International Trades Department to ensure accurate and complete documentation
  • Communicate with new clients to ensure receipt of all necessary credit check information
  • Organize and co-ordinate documentation for shipping locally and internally
  • Set up quotes, new clients and new products into database
  • Scan, save and sort various documents into centralized location

Other Responsibilities

  • Update templates, training materials, warehouse maps, employee forms, billing graphs, supplier details, contract prices, charts and item descriptions
  • Provide assistance to other departments or team members when necessary
  • Adhere to and promote the environmental, health & safety policies of AFL

Qualifications

  • 1-3 years’ experience in related field/industry
  • Experience in Customs and Cross Border preferred
  • Experience working within a fast-paced and entrepreneurial environment
  • Proficient in MS Office, specifically Outlook, Excel, Word, and Access database
  • Be knowledgeable in Solomon and SQL based systems and be able to extract data from systems to effectively build reports and answer questions as needed

Working Conditions

  • Normal office environment
  • General hours of Monday through Friday 8:00am to 5:00pm
  • Some travel may be required
