Responsible for the day to day aspects of administration and project coordination within the PMO. Develops and maintains complete set of processes and tools for the efficient and consistent delivery of tasks. Strong focus on continuous improvement of systems and resources.

Reports to Director of Project Management in the AFL Construction Services PMO. The incumbent is responsible for a team of project coordinators and administrative assistants.

ESSENTIAL JOB DUTIES/RESPONSIBILITIES

Provide leadership and coaching to a team of Project Coordinators and administrators

• Responsible for developing processes, standards and reporting to create a best in class set of tools for use in the management of FTTH projects, and enforces consistent adherence across department.

• Ensures that all processes and systems are well defined and managed

• Leads the implementation of new processes and systems to support business needs

• Identifies opportunities for operational improvements and manages change requirements in a documented and structured manner

• Responsible for developing processes, standards and reporting to create a best in class set of tools for use in the management of FTTH projects, and enforces consistent adherence across department.

• Formally communicates changes in policies and procedures and ensures proper compliance across department

• Acts as a liaison between PMO and other internal departments

• Create an environment of collaboration, communication and consistency

• Communicate to executives on challenges and successes of department

• Create and execute on team member development plans

• Create and maintain effective and efficient systems used by team members

• Comprehensive understanding of contract scope and requirements for pro-active management of projects and integration into processes

• Collaborates with other departments as required to execute on timelines to meet the goals of management and contractual compliance

Degree or Certifications: College diploma in admin/finance or equivalent experience

# Years of working experience: 10+ years

# Years specific industry: Ideally within Utilities, Telecommunications or a related industry; fast paced environment

# Years supervisory / leadership: 3 years minimum 5.

Years project management experience: n/a

# Years or experience level with computer systems etc: 10+ years

Communication skills, oral and written: Excellent

% Travel required and/or weekends: 10 – 25%
