AECOM is seeking an LEM Administrator to be based at CNRL Albian Sands, located in Fort McMurray, Alberta.

This position provides secretarial and clerical support by relieving managers of basic administrative and office duties. Assignments may involve work of a confidential nature and require a basic knowledge of the policies, practices and procedures of the company, group and/or department.

May include the following responsibilities:
+ Assembles and analyzes information, prepares reports, agendas and memoranda.

+ Prepares answers to routine mail and inquiries.

+ Receives incoming telephone calls and handles inquiries, takes messages, and transfers calls to appropriate party.

+ Maintains files, keeps records, prepares schedules, makes travel arrangements, compiles reports, and processes documents of a routine nature.

+ Prepares and processes expense reports.

+ Prepares and proofreads correspondence, reports, and other material.

+ May take dictation and transcribe notes.

+ May plan layout of reports and statistical tables.

+ Typically uses common word processing and spreadsheet software packages. May use database, graphics, and desktop publishing office machines.

+ May perform special projects that pertain to departmental goals as directed by supervisor.

+ Under limited supervision, provides routine administrative support for a department or administrative unit. Researches and obtains information for routine reports and special assignments.

+ Compiles and analyzes data, and prepares reports for action by superior.

+ Investigates assigned problems using established company or department policies and practices to determine method of research, data and information requirements and analysis techniques.

+ Work generally requires a broad working knowledge of departmental and company policies, programs, and product lines.

+ May provide guidance and work leadership to lower level clerical or secretarial staff.

Additional Requirements:
+ Preparation of daily labour, equipment and material (LEM) loads and supporting documentation.

+ Submit LEM and supporting documentation on a daily basis.

+ Prepare and upload the LEM into the client’s system and resolve any queries from client resulting from LEM submission.

+ Audit LEM for payroll.

+ Cost anomaly investigation and tracking.

+ Liaise with supervisors, time entry personnel and senior personnel to prepare the timesheets and overtime requests and track in an excel tracker.

+ Coordinate and assist in the preparation of the various weekly and monthly reports for functional area.

+ Recommend, implement and monitor improvement to the service delivery to improve productivity and/or reduce cost.

+ Prepare and submit corrections resulting from the audit work and provide to time entry personnel.

+ Assist site management with various administrative duties.

+ Flights and camp booking as required.

+ Review flight and camp invoices for accuracy.

+ Assist in establishing and maintaining administration templates, guidelines and procedures to ensure alignment and consistency.

+ Request client’s JDE number, request craft codes, updated LEM tracker.

+ Prepare and submit daily reconciliations.

+ Prepare various ad hoc analysis over the LEM process.

+ Cross trained with the other site administrators and provide coverage when required.

+ Other duties as required.

+ This position is a 7-7 shift schedule.

Minimum Requirements

+ 2 years of secretarial experience.

+ Very strong computer skills including Microsoft Excel, Word, Visio, PowerPoint and Adobe.

+ Knowledge of federal and provincial agreements.

+ Strong work ethics.

+ Team player dedicated to delivering results.

+ Strong verbal and written communication skills.

+ Excellent problem solving skills and judgement to resolve issues.

+ Strong interpersonal skills; proven to interact with all levels of the organization.

+ Attention to detail.

Preferred Qualifications

+ High school diploma or equivalent preferred. Advanced business school/secretarial training preferred.
