Monday to Friday 8:00 am to 4:30 pm. Overtime may be required during peak periods.

Position Summary

Responsible for administrative support in the delivery of all programs and services offered by the RAS office:

  • Process registrations for non-credit areas; resolve problems; handle waitlists; provide web registration support
  • Sell parking permits, athletic game or event tickets
  • Process memberships for non-credit areas; set up special user groups with appropriate membership plan; resolve issues; invoice special user groups. Maintain related financial records and documentation
  • Update and maintain information and procedural manuals
  • Receive, evaluate and respond to all incoming inquiries and requests
  • Prepare and/or distribute relevant materials, information, communication and/or marketing material for all services
  • Prepare, run, and/or distribute statistical reports and summaries
  • Attend CLASS training or information sessions and provide input
  • Archive electronic and paper records
  • Provide version upgrade support by testing front end user functions. Document testing results
  • Process financial transactions; reconcile cash; prepare cash transmittals
  • Generate and distribute Statement of Accounts. Follow up on delinquent accounts
  • Run post-dated payment process and apply payments

In addition:

  • Schedule courses by specific deadlines. Update, publish, and distribute the Summer Sports School brochure and all other course schedule information documents
  • Process locker renewals; perform clean outs; maintain locker records
  • Monitor accuracy of scans for specific memberships and resolve errors
  • Process relevant payroll deductions by required deadlines. Verify accuracy and resolve errors
  • Analyze a variety of financial reports. Follow up as required
  • Assist with training and supervision of RAS staff members. As required, provide training to students who use the CLASS system. Provide feedback to appropriate supervisor on performance of staff member
  • Update the annual season ticket database and related gym mapping; recommend and implement changes. Work with athletic staff on promotion of sport camps, season tickets, etc.
  • Perform various system maintenance duties (i.e. merge duplicate IDs, batch various jobs, monitor alert text and deletions)
  • Order supplies and materials as required
  • Work in a team environment and assist or provide back-up as required


  • Grade 12 supplemented by the successful completion of a recognized business course, combined with a minimum of three to five years experience directly related to the duties specified is required
  • Supervisory skills a definite asset
  • Demonstrated knowledge of accounting and cash management principles and procedures required including experience with cash registers, POS, and cash reconciliation
  • Demonstrated knowledge of and skill in office practices, principles and procedures
  • Demonstrated knowledge of and skill in the use of Microsoft Office software (Word and Excel) and GroupWise
  • Knowledge of and skill in the use of CLASS software system and POS a definite asset. Knowledge of the programs and services offered by the Recreation and Athletic Services office is a definite asset. Knowledge of K & H non-credit policies, standards and procedures related to registration, memberships, and facility bookings is desirable
  • Demonstrated ability to organize multiple tasks, while maintaining accuracy and attention to detail, and to analyze complex problems
  • Ability to make effective administrative/procedural decisions and recommendations
  • Ability to deliver excellent customer service
  • Ability to develop and maintain strong working relationships with faculty, staff and public clientele
  • Ability to work as part of a team
  • Ability to communicate effectively, both orally and in writing. Ability to create, compose and edit a variety of written material and types of documents
