Based in our Vancouver, BC office, as Administrative Assistant, Legal Department, you will report to the Corporate Counsel and are responsible for providing administrative support to the legal team. This position is a 9 month contract position

Accountabilities will include:

  • Prepare Legal Documents such as Consulting Agreements and Non-Disclosure Agreements
  • Manage legal ticketing system
  • Update and maintain spreadsheets (legal contract tracking and contractor tracking)
  • Submit Help Desk tickets when new contractors are hired or terminated
  • Coding of legal invoices
  • Completing a variety of administrative and support duties, often of a confidential nature and unique to assigned area, including researching information and data, maintaining department records and filing system and developing and producing reports
  • Follow up and act as a liaison with various individuals both internally and externally, at all levels of the organization
  • Performs general clerical duties, including scanning, photocopying, couriers and filing

What you’ll need:

  • Post- secondary education or equivalent
  • A minimum of 2-3 years’ experience providing senior level administrative support;
  • Background in legal documents and legal billing
  • Unquestionable integrity, strong judgment skills and absolute discretion with confidential and sensitive information
  • Proven ability to operate professionally and with consistently high standards of excellence;
  • Demonstrated ability to effectively prioritize work, manage deliverables and handle multiple tasks simultaneously in a fast-paced environment
  • Able to think critically and to exercise independent and sound judgement in anticipating needs and taking initiative
  • Excellent written and verbal communication skills
  • The ability to lead and mentor as well as work harmoniously with others at all levels;
  • Advanced proficiency with Microsoft Office suite of programs specifically Outlook, Word, and Excel
  • Self-motivated and able to work with little supervision
  • Ability to juggle multiple priorities and has a good sense of urgency
