The Alberta Winter Games have been awarded to the City of Airdrie from February 14th – 17th 2020. The Games will bring together Alberta’s best young athletes aged 11-17 with an expected total of over 3,000 participants and officials. Execution of the games will be conducted by the Airdrie 2020 Alberta Winter Games Society in partnership with the City of Airdrie and Alberta Sport Connection.

The Airdrie 2020 Alberta Winter Games Society is seeking an Office Manager to assist in the organization of the 2020 Airdrie Alberta Winter Games. Reporting to the Games Manager, the successful candidate will provide critical support in a broad range of administrative management tasks. What you’ll do:

  • Set up a Games office including obtaining office furniture, equipment and supplies, setting up phone systems.
  • Provide ongoing administrative support including developing appropriate processes (filing, mail, reporting) and recording, preparing and distributing Board agenda and minutes.
  • Basic bookkeeping tasks like managing petty cash, issuing purchase orders, etc.
  • Coordinate, design and compile Games related documents including Participant Handbook and Games Phone Directory.
  • Assist Games Manager with special projects, community consultations and special events.
  • Assist volunteer directors and chairpersons with completion of tasks.
  • Attend board, committee and regular staff meetings
  • Respond to inquiries from the general population and volunteers

What you’ll bring:

  • Two (2) year Office Administration, Business Administration, or equivalent diploma.
  • A proven track record of success in an office management role (experience working in the non-profit sector considered and asset).
  • Strong interpersonal, communication and organizational skills.
  • A strong working knowledge of Google products and Microsoft Office, with strong Word and Excel skills.
  • Proven ability to take minutes and accurately record information.
  • Ability to organize and prioritize in high demand, high workload situations.
  • Ability to work well under pressure, and with tight deadlines.
  • Be self-motivated and goal oriented
  • Relevant experience and/or education in event management considered an asset

The position is expected to be a two year contract beginning May 1, 2018 and ending at April 30th 2020 with a competitive salary commensurate with experience.
